Questions providers actually ask us.
Straight answers on outsourcing billing, credentialing timelines, pricing and onboarding. Every one starts with the short version.
- Medicare / Medicaid
- 30–90 days
- Commercial payers
- 60–120 days
- CAQH profile
- 1–2 weeks
- Onboarding
- 1–2 weeks
Onboarding
One to two weeks in most cases. We collect your practice details, payer information, system access (securely) and workflow preferences, then map how charges will reach us. Nothing gets filed until that handoff is agreed, so there’s no gap where claims sit unworked.
Provider details, payer mix, system access, and however you already send charges. That’s it. Encounter forms, notes or exports: we work around your existing process rather than making your staff learn a new one.
Billing workflow
You send charges. We do the rest and report back.
- Your team submits charges, notes or encounter forms.
- Our certified billers code, scrub and submit the claims.
- We track every claim through the payer and work whatever comes back.
- Payments are posted, reconciled and reported to you in real time.
We work the root cause, not just the resubmission. Anyone can refile a denial. We look at why it was denied (a modifier, missing documentation, an eligibility gap) and fix the upstream habit so the same rejection doesn’t come back next month.
Credentialing
Plan on 90 to 120 days for a full set of payers. Each payer sets its own pace. We track every application through to an effective date in writing, and flag re-credentialing before it expires rather than after.
- Medicare and Medicaid: 30 to 90 days
- Commercial payers: 60 to 120 days, plus 2 to 6 weeks to load the contract
- CAQH profile: 1 to 2 weeks, with documents in hand
Yes, but you usually can’t bill for those visits. Which is why a delayed enrollment is a real cost, not an admin annoyance. Medicare allows billing up to 30 days before the effective date in some cases, Medicaid rules vary by state, and most commercial plans pay only from the effective date. We tell you which is which before you schedule.
Systems & security
Almost certainly yes. We work with all major EHR, EMR and PM systems: Epic, Athenahealth, eClinicalWorks, CareCloud, AdvancedMD, DrChrono, Tebra (formerly Kareo) and NextGen among them. If yours isn’t on that list, ask; it’s rarely a problem.
HIPAA-compliant workflows, credentials stored securely, access limited to your team. Only the billers assigned to your practice have access to your systems, and that access is revoked the day someone rolls off your account.
Pricing & contracts
Full-service billing is a share of what we collect; credentialing is a flat price per payer application. Our full-service rate is 3% to 6% of your monthly collections, set by your volume: the more you collect, the lower your rate. It covers eligibility and benefits checks (VOBs), prior authorizations, coding and charge entry, claim submission, payment posting, denial management, A/R follow-up and patient billing calls. There are no setup or onboarding fees, and new and smaller practices can choose a flexible monthly-minimum plan. Credentialing is $189 per payer application, $150 per payer when you enroll with up to 7 payers, and $120 per payer for up to 20. Your exact price is in writing before we start.
No. If the service stops earning its keep, you should be able to leave. Plenty of practices take the free A/R review and stop there. That’s a fine outcome: you still learn where your revenue is leaking.
Yes, with that client’s permission. We don’t name the practices we work with on this site; their business is theirs. Ask us, and we’ll share the contact details of a current client who has agreed to talk to you.
